Key Responsibilities:
... Document Management: Oversee the management and maintenance of policy and non-policy documentation, conducting regular audits to ensure accuracy and currency across digital libraries and project plan templates.
Project Coordination: Manage and track project tasks using ClickUp, ensuring timely completion and alignment with project scope.
Communication: Facilitate clear and effective communication between team members, stakeholders, and external vendors to drive business initiatives.
Vendor Management: Liaise with the ClickUp vendor and IT Application Implementation Manager to resolve functional issues and organise knowledge sessions for the ClickUp Champions cohort.
Meeting Support: Lead internal ClickUp Champions meetings, organise vendor meetings, and support Continuous Improvement workshops by preparing agendas, recording actions, and documenting outcomes.
Problem-Solving: Identify, triage, and resolve project issues, communicating solutions to relevant stakeholders.
Reporting: Prepare project status reports to support strategic and continuous improvement initiatives.
Essential Skills and Experience:
Minimum 5 years’ experience in project administration, with a government background preferred.
Exceptional organisational skills and attention to detail, with a focus on managing documentation.
Strong communication skills, able to engage confidently with stakeholders at all levels, from executives to junior staff and vendors.
Technical proficiency with project management tools (ClickUp experience is a plus but not needed) and Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Teams).
Proven problem-solving and critical thinking skills, with the ability to work independently and drive resolutions.
Cooperative relationship-builder self-driven, and adaptable, with a willingness to roll up your sleeves to achieve results.
