On behalf of our client, a prestigious and global leader in the property sector, Randstad is seeking a high-calibre Executive Assistant / Project Coordinator for an immediate 6-week temporary assignment.
This role partners directly with the Managing Director. It features a unique workload balance designed for a candidate who wants to blend high-level executive support with genuine strategic impact. You will spend the vast majority of your time driving project coordination, client engagement initiatives, and stakeholder management rather than traditional, diary-heavy administration.
Key Responsibilities
Strategic Project Coordinator & Client Engagement
- Growth Plans & Metrics: Assist with the coordination of the firm’s growth plans , and track key client metrics, including workshops, boardroom lunches, pipeline opportunities, and target clients.
- Reporting: Prepare client engagement reports for upcoming AU/APAC Executive meetings and Board papers.
- Leadership Support: Coordinate AU Geographic Leaders meetings by developing agendas, preparing business cases, seeking business updates, and tracking action items.
- Strategy Execution: Partner with the MD to support Service Line and Geographic Leaders in executing key client and sector growth strategies.
High-Level Executive Administration
- Diary & Meeting Management: Proactively manage complex schedules, room bookings, and catering, ensuring meetings are well-structured and materials are shared in advance.
- Email & Communication: Monitor and action emails, prioritise urgent matters, and draft clear, concise, and professional correspondence.
- Document Preparation: Compile accurate documentation for leadership meetings via shared platforms like OneDrive.
- Meeting Turnaround: Deliver meeting agendas, minutes, and follow-up actions within a strict 24-hour timeframe.
Key Requirements & Competencies
To hit the ground running in this fast-paced temporary role, you will bring:
- Experience: Minimum 5+ years of experience in a similar high-level EA, Project Coordinator, or Strategic Support role.
- Industry Knowledge: An understanding of the real estate, property, banking or financial industries would be beneficial.
- Tech-Savviness: Highly proficient across Microsoft Office (PowerPoint, Word, Excel, Outlook)
- Attributes: High attention to detail, strong prioritisation skills, a solutions-focused mindset, and absolute discretion regarding highly confidential and sensitive information.
- Availability: Must be available immediately to commence the 6-week assignment.
