About the Opportunity
Are you a highly organised Executive Assistant with a sharp commercial mind? Our client is currently seeking a full time Executive Assistant to join their corporate team in Mulgrave.
You will play a pivotal part in our business by blending high level executive support with commercial, financial, and operational coordination. Reporting directly to the Financial Controller, you will act as a trusted partner to the executive leadership team, drive corporate governance, and help keep the business operations running flawlessly.
- Location: Mulgrave
- Salary: $100,000 - $110,000 + Super
- Work Type: Full-Time, Corporate Division
- Reports To: Financial Controller (with functional support to the CEO & Executive Team)
Key Responsibilities
In this diverse role, your responsibilities will span across several critical business functions:
- Executive Support: Provide proactive, confidential assistance to the Executive Team, manage travel logistics, draft professional communications, and act as a key liaison for internal and external stakeholders.
- Commercial & Financial Admin: Support contract administration (tracking milestones, maintaining registers), coordinate tender submissions, assist with pricing proposals, and support audit data collation.
- Payroll & Timesheet Support: Assist with payroll processing inputs, support timesheet administration for accuracy and compliance, and liaise with HR/Payroll to resolve queries.
- Operational Governance: Maintain corporate document control systems (SharePoint) in line with NATA and ISO standards; manage confidential records and tracking deliverables.
- Corporate Services & Front-of-House: Maintain professional front of house standards, manage reception, greet visitors, and handle mail/deliveries.
- Marketing & Communications: Assist with website updates, LinkedIn content, and the preparation of presentations and marketing materials.
What You Bring to the Team
Skills & Experience:
- Demonstrated experience as an Executive Assistant, Office Manager, or a similar corporate support role.
- Proven experience supporting senior management or executives.
- Exposure to financial, commercial, or contract administration processes (highly desirable).
- Experience preparing high quality reports, presentations, and board materials.
- The ability to multi-task and manage competing priorities in a fast paced environment.
Qualifications & Competencies:
- Strong written and verbal communication skills with a high level of discretion.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook) and experience with document management systems like SharePoint.
- Strong commercial awareness and understanding of business operations.
- A suitable Business Degree is highly desirable.
