We're looking for a dedicated and organized Administrative Assistant to join the Impairment Support team in a state government role. This is a full-time contract position from your start date until December 19, 2025.

The successful candidate will play a key role in providing crucial administrative support to Impairment Benefit Coordinators, plaintiff solicitors, and medical practitioners.
Key Responsibilities
As an Administrative Assistant, Impairment Support, you will be the end-to-end administrator of the medico-legal process. Your daily tasks will include:
- Handling High-Volume Requests: Efficiently managing and processing a large number of requests from various stakeholders.
- Medico-Legal Coordination: Booking appointments, arranging scar sight examinations, and organizing travel for all parties involved.
- Liaison and Communication: Acting as the primary point of contact for third parties, ensuring clear and proactive communication (both written and verbal) with clients, legal representatives, and medical examiners.
- System and Data Management: Maintaining accurate and up-to-date information in our systems, ensuring all impairment cases are raised, allocated, and tracked properly.
- Mail and Correspondence Management: Managing incoming and outgoing correspondence for the team, directing mail to the appropriate division, and responding proactively when necessary.
- Team Collaboration: Working closely with other team members to ensure a consistent and high level of administrative support.
Essential Experience & Skills
To be successful in this role, you'll need:
- Demonstrated experience in a client services environment and handling a high volume of tasks in an agile setting.
- Exceptional organizational skills with a keen eye for detail, and the ability to prioritize work to meet strict deadlines.
- Strong verbal and written communication skills to effectively engage with a diverse range of clients and stakeholders.
- Proven ability to build and maintain productive working relationships.
- The capacity to work independently with minimal supervision and as part of a team.
- A proactive approach to problem-solving and follow-up.
- Expertise in databases, advanced knowledge of MS Word, and intermediate knowledge of MS Excel.
Role Details
- Daily Rate: $47 per hour plus Super
- Start Date: ASAP
- End Date: December 19, 2025; with potential extension
- Location: Geelong
- Working Arrangement: Hybrid flexible working, with a requirement to be in the office 3 days per week.
