About the Role
The Venues Administrator will report directly to the Director of Venues and will play a key role in providing administrative and project support to the Venues Department, while also contributing more broadly across the Games Delivery Division. This role will help to coordinate internal processes, maintain documentation, manage schedules, and support cross-functional teams to help deliver a world-class Olympic and Paralympic Games.
Key Responsibilities
... Providing diary management, travel coordination, expense processing and administrative support to the Director of Venues and broader Games Delivery Division team as required.
Managing the inbox and filing system for the Director of Venues and shared Venues Department mailbox ensuring efficient workflow tracking and timely escalation of urgent matters.
Support the planning, coordination and communication of key stakeholder meetings and workshops, ensuring key stakeholders are prepared with the required resources ahead of meetings.
Maintain and manage files and documentation including reports, data dashboards, contracts, agreements, and records.
Assist with tracking of budget and financial reporting.
Develop and implement systems, policies and procedures for the Venues Department as required.
Handling confidential information in a professional and discreet manner.
Skills and Experience
At least 5 years of experience in supporting fast-paced multi-disciplinary teams, preferably in a sports management or entertainment environment.
Able to quickly build rapport and foster collaboration with all members of the Brisbane 2032 team and delivery partners.
Flexible and agile in responding to changing business needs and priorities, remaining calm and positive under pressure in a fast-paced and demanding environment.
Proficient in Microsoft 365 software and other relevant systems.
A strong desire to significantly and positively contribute to the short, medium and long-term success of Brisbane 2032. Embracing a startup approach, with a growth mindset.
Ensure professional and discreet management of confidential information.
