As our pipeline of projects continues to expand, we are looking for an organised, sharp, and proactive Service Coordinator to keep our daily operations running like a well-oiled machine.
The Role
As our Service Coordinator, you will be the central hub connecting our clients, project managers, and site technicians. This is a fast-paced role where no two days are the same. You will manage scheduling, respond to client inquiries, and ensure all administration behind our construction and maintenance services is flawless.
Your day-to-day will look like:
... Scheduling & Dispatch: Coordinate and allocate daily schedules for site technicians, subcontractors, and equipment.
Client Relations: Act as the primary point of contact for incoming service requests, providing exceptional customer service and timely updates.
Job Management: Raise work orders, track job progress from start to finish, and ensure data is accurately logged in our job management system (SimPRO/Aconex/similar).
Compliance & Admin: Assist with preparing compliance documentation, permits, and OHS variations.
Invoicing Support: Collate technician timesheets and job completions to assist the finance team with prompt invoicing.
What We Are Looking For
We need someone who thrives in a busy environment and can juggle competing priorities without losing their cool.
Experience: Proven experience as a Service Coordinator, Scheduler, or Operations Administrator—ideally within the construction, civil, trade, or engineering sectors.
Tech-Savvy: Strong proficiency with job management software and MS Office Suite.
Communication: Exceptional verbal and written communication skills with a knack for building quick rapport with tradespeople and corporate clients alike.
Geographical Knowledge: A good understanding of Melbourne’s Western Suburbs geography to optimize travel times for site crews.
Problem Solver: Highly organised with a proactive attitude and the ability to think on your feet when schedules shift last-minute.
