- Executive Assistant role within Communications and Engagement space
- Based in Newcastle
We are seeking an Executive Assistant to provide high-level support to a General Manager and a wider communications department. This pivotal role combines administrative management with strategic communications, ensuring seamless office operations and effective internal/external stakeholder engagement.
Key Responsibilities:
- Proactively manage the General Manager’s calendar, meetings, and travel, ensuring optimal time and priority management
- Prepare high-quality correspondence, briefing papers, agendas, and presentations on behalf of senior leaders
- Coordinate operational activities including approvals, document management, invoicing, and budget oversight, maintaining accurate and compliant records
- Act as a primary liaison for Communications, supporting strategic messaging and facilitating clear information flow between executives and stakeholders
- Develop and maintain effective partnerships with external stakeholders, coordinating executive attendance at meetings and preparing relevant briefings
- Support the planning and execution of events and public announcements, managing logistics and drafting related communications
Key Requirements:
- Experience in administration or communications, with demonstrated experience supporting senior executives, preferably within government or high-profile organisations
- Confident, articulate communicator capable of translating complex information into clear, compelling narratives for diverse audiences
- Proven ability to manage multiple priorities, deadlines, and competing streams of work with high attention to detail and confidentiality
- Proficiency in MS Office Suite, communication tools, and document management systems
- Ability to operate effectively under limited supervision, demonstrating initiative and adaptability
- Experience in strategic communication planning and stakeholder engagement is desirable
Eligibility & Checks:
- Must be an Australian citizen to be eligible for this role
- The successful applicant will be required to undergo a National Criminal History Records Check (NCHRC) and obtain/maintain a Baseline Vetting security clearance. (Conducted and paid for by the department)
