We are seeking a highly organised and proactive Executive Assistant. This permanent full-time role, based in the Hills District with ample parking and close proximity to public transport, offers some flexibility for working from home.

The Executive Assistant to the CEO plays a pivotal role in providing high-level administrative support to ensure the efficient operation of the CEO, Board, and senior leadership team. This position requires a clear understanding of activities and objectives, pro-activity in managing priorities, and ensuring deadlines are met.

Key responsibilities include:
Monitoring and managing the CEO's inbox and highlighting critical areas
Coordinating the day-to-day activities of the CEO such as managing schedules and appointments and monitoring and responding to emails.
Acting as the primary point of contact for the CEO, Board members, and Leadership team.
Drafting communications and communiques and preparing and/or editing general correspondence, reports and presentations as required.
Planning meetings including sending invitations and background material, taking notes or minutes.
Preparing agendas, papers, reports, presentations and other documents for Board and executive meetings.
Attending leadership, Board and other meetings (as required) and acting as meeting secretary, preparing papers including writing minutes and taking action points.
Researching, scheduling and coordinating travel arrangements for the CEO, Board and leadership team including booking flights and accommodation and scheduling relevant appointments.
Providing support to managers as required including implementation of the strategic plan and marketing plan as well as assisting in developing operational/business plans, reports and project tasks.
Maintaining confidential files.
Maintaining databases and contact lists as applicable to the role.
About You:
This role will suit someone who has initiative and great communication and interpersonal skills. You will have the ability to act with discretion, judgement, and diplomacy, and possess strong organisational and time management skills. A strong builder and maintainer of relationships, you will liaise with a wide variety of internal and external stakeholders who are involved in the mission of the organisation.
Key Requirements for the role include:
Minimum 5 year's experience as an EA for a CEO and working with in Board Governance processes and systems.
An appreciation of and a commitment to supporting a mission based organisation.
Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
High level communication skills include the ability to cooperatively manage input from multiple stakeholders, compile reports record minutes and write high level communications.
Ability to sustain high level performance, problem solve and meet demanding work deadlines with limited supervision.
Demonstrated ability to work both autonomously and collaboratively.
Advanced skills in Office 365 and associated software.
Excellent report writing skills and experience.
Please note as this is a Full Time Permanent position you must have unrestricted Australian work rights (eg Australian Citizen/Permanent Resident). If successful in interview before commencing you will also be required to undergo a National Police Check and provide a valid WWCC.
