About the Role
This role will provide executive administrative support to the Chief Corporate Services Officer. The Chief Corporate Services Officer is a member of Brisbane 2032’s C-Suite and is responsible for the delivery of Brisbane 2032’s Corporate Services including Legal, Rights Protection, Procurement, Facilities, People Management, (Business) Technology and Company Secretariat.
This role will also be responsible for ensuring the smooth and efficient operation of the Brisbane 2032 office.
This is a pivotal position requiring discretion, agility, and a proactive mindset. Given the ever-evolving nature of working on The Games, your priorities will shift, and you must be comfortable managing changing and competing demands while supporting the broader team.

Key Responsibilities
Provide proactive, strategic project support and general administrative support
Support the discharge of financial accountabilities and compliance with various financial systems and processes
Oversee inbox and document management, ensuring timely communication and filing accuracy
- Managing the Chief Corporate Services Officer’s engagement with a variety of internal and external stakeholders including the International Olympic Committee, International Paralympic Committee, Australian Olympic Committee, Paralympics Australia and all levels of Government, as well as a wide range of suppliers and industry representatives;
Manage the Chief Corporate Services officer’s complex diary, travel and meeting arrangements that will also transverse time zones
Prepared documentation required for briefings, ensuring all resources are prepared ahead of meetings.
Identifying opportunities for process improvements and work with the team to implement changes that enhance experience and efficiency
Liaising with building management for maintenance and services
Assisting with office space planning and layout, ensuring that facilities are functional, efficient, and scalable to support the evolving needs of Brisbane 2032 as it grows
Maintain confidentiality when handling sensitive information
Providing board secretariat support as required to help the Chief Corporate Services Officer and the broader Board Secretariat team to discharge their role of supporting the Brisbane 2032 Board including:
- Providing leave cover and overflow support to the Board Secretariat role, which also reports directly to the Chief Corporate Services Officer;
- Providing assistance with meeting agendas, paper compilation, minutes and other Board documentation; and
- Providing travel and other administrative support to Brisbane 2032 Board members.
Skills and Experience
Experience supporting a Chief Executive or comparable senior executive is highly desirable
Excellent verbal and written communication skills
- Experience working boards and complex governance frameworks
High level of professionalism, discretion, and integrity
Meticulous attention to detail, with strong organisational and problem-solving abilities
Ability to adapt and thrive in a fast-paced, evolving environment
Proficiency in Microsoft 365 (Word, Outlook, Excel, PowerPoint, Teams)
