You will be joining a specialist team which is responsible for the processing of security clearance requests, security vetting clearance packs and Personnel Security Files.
Your role will be to complete the administrative processes required to process requests:

- Provide customer service via email, phone, written correspondence.
Your new role:
In this role, you will be responsible for delivering high-quality administrative support services across various areas. Your duties will include, but are not limited to:
- Reviewing documents to ensure compliance with Defence Records Management Policy (DRMP).
- Digitising physical Defence records and performing sentencing, categorisation, and secure destruction of records.
- Conducting quality assurance checks to maintain accuracy and compliance in digitisation processes.
- Providing administrative support to project teams including meeting coordination, minute-taking, document preparation, and financial reporting.
- Supporting functions across HR, Finance, Records/Information Management, and general project systems.
- Maintaining accurate records in line with relevant legislation including the Right to Information Act 2009 and Personal Injury Proceedings Act 2002.
- Managing inboxes, mail processing, document filing, and archiving using electronic document management systems.
- Assisting with basic purchasing and procurement tasks.
- Coordinating in-house training, travel arrangements, and resource bookings.
- Supporting facilities operations such as onboarding, reception coverage, car park and security access management, and courier/mail deliveries.
- Maintaining vehicle fleet compliance and associated registers.
- Escalating any issues encountered during production or administration processes as required.
About You
To be successful in this role, you will demonstrate:
- Strong administrative and organisational skills with excellent attention to detail.
- Familiarity with records management standards and digitisation processes.
- Experience using electronic document and records management systems (EDRMS).
- A proactive approach to problem-solving and process improvement.
- High-level written and verbal communication skills.
- Ability to manage competing priorities in a fast-paced team environment.
- Knowledge of government policies, particularly WH&S and governance, is desirable.
