Are you an organised administrative professional with exceptional customer service skills and an interest in information access and legislation? A government department is looking for a dedicated Administrative Support Officer to join its Freedom of Information (FOI) team.
This role is the front-of-house support for the FOI team, ensuring the smooth administration of requests under the Freedom of Information Act 1982.
Key Responsibilities
You will be the first point of contact for the community and a central support for the team, with duties including:
... - Front-of-House Support: Answering incoming calls from community members regarding freedom of information and their applications.
- Request Management: Managing a centralised team inbox and coordinating correspondence with internal and external stakeholders on questions, requests, and document searches.
- Application Pre-Assessment: Undertaking the initial review and pre-assessment of FOI applications, including assessing the validity of a request and supporting applicants to make a valid submission.
- General Administration: Updating and maintaining a request tracker and ensuring effective document management.
- Stakeholder Communication: Corresponding with internal and external parties, both over the phone and in writing.
What You Will Bring
The ideal candidate will be highly professional, detail-oriented, and able to handle sensitive information and complex inquiries with tact and clarity.
- Proven experience in a professional administrative or customer-facing support role.
- Excellent verbal communication and customer service skills, particularly for handling public inquiries.
- Strong written communication skills for managing email correspondence and official documentation.
- Exceptional organisational skills and attention to detail for managing application trackers and document systems.
- Experience with, or the proven ability to quickly learn, legislative requirements related to information access (e.g., Freedom of Information Act 1982).
