Are you a highly organized professional with a knack for keeping complex operations running smoothly? We are seeking a proactive Admin Support Officer to provide essential administrative and secretarial support to our Operational Communications management team.
In this role, you will be the backbone of the Communications Centre, ensuring our leadership team is well-prepared and our administrative systems are second to none.
The Opportunity
As an integral member of the Chief Operations Office, you will handle a diverse range of tasks in a fast-paced emergency healthcare environment. This position is classified as Band 3 under our Enterprise Agreement.
Key Responsibilities Include:
... Executive Support: Providing diary management, coordinating meetings, and preparing high-quality agendas, minutes, and briefing materials.
Operational Coordination: Managing staff inductions, security access, and coordinating the administrative support team’s rosters and payroll queries.
Office Management: Overseeing stationery and uniform orders, processing accounts for payment, and managing petty cash.
Communication: Acting as the first point of contact for enquiries and preparing draft correspondence, reports, and business cases.
Data & Compliance: Maintaining secure filing systems (TRIM/Content Manager) and running reports to support management investigations and audits.
Who You Are

Your Experience & Skills:
Proven Expertise: Substantial experience providing high-level administrative support within a large organization.
Communication Pro: Exceptional verbal and written skills, with the ability to research and collate complex information into concise reports.
Tech Savvy: Intermediate to advanced skills in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
Organized & Adaptable: Strong ability to prioritize tasks, manage conflicting deadlines, and use initiative to solve problems.
Discreet: Proven judgment when handling confidential or sensitive information.
Mandatory Requirements:
A current Victorian Driver Licence.
Australian Citizenship, Permanent Residency, or a valid work visa.
Willingness to undergo a Police Record Check and Working with Children Check (WWCC).
Flexibility to travel throughout Metropolitan Melbourne and Regional Victoria as required.
