We're on the hunt for a highly skilled and experienced Senior Documents Controller to join a leading organisation in the infrastructure sector. This is a crucial role where you'll be instrumental in managing complex documentation across a portfolio of large-scale projects, from initiation through to handover.
As the Senior Documents Controller, you'll be responsible for developing and maintaining the entire documentation lifecycle. Working closely with project teams and external partners, you'll ensure that all processes and systems are compliant, efficient, and support key project milestones.
Your key responsibilities will include:
Process and Procedure Development: Creating and maintaining end-to-end document control processes, procedures, templates, and reporting frameworks.
Documentation Management: Overseeing the complete documentation cycle, including creation, review, approval, version control, and archiving for all project-related documents. This includes engineering deliverables, technical data, and commercial information.
Systems and Technical Expertise: Acting as the subject matter expert for multiple document management systems (DMS), including InEight Document, TRIM/QDox, eDRMS, and RedEye. You'll handle system administration, reporting, troubleshooting, and ensure data integrity.
Stakeholder Management: Collaborating with a wide range of internal and external stakeholders, providing training and guidance to ensure compliance with document control procedures.
Compliance and Governance: Applying your knowledge of safety, regulatory, and commercial frameworks to ensure all documentation processes support contractual obligations, audits, and business objectives.
You are a seasoned professional with formal qualifications in Document Control or Records Management. You have substantial experience in managing documentation for large infrastructure projects and are skilled in process development and quality assurance.
You will have:
Extensive experience with document management systems, specifically InEight Document, TRIM/QDox, and RedEye.
A proven ability to develop and implement robust document control policies and procedures.
Strong communication and stakeholder management skills, with experience in training and user support.
Exceptional attention to detail and a commitment to data accuracy and integrity.
Prior experience in a supervisory or training capacity is highly regarded.
