        Position: Practice Manager Full time Permanent reporting to the Directors Primary Responsibility To ensure the effective management of non-technical aspects of this well established Accountancy Practice, in a pro-active and efficient manner, to enhance the productive capacity of the directors and staff. Key Responsibilities Listed below are the key responsibilities under their portfolios headings: Finance • Proactively identify profit improvement & efficiencies across the practice • Production of monthly management accounts • Quarterly BAS • Monitoring cash flow • Manage accounts receivable & accounts payable including preparation of bills from time to time• Manage all aspects of payroll, including accruals, payment summaries, superannuation and payroll tax• KPI reporting Office Management • Ensure the office environment meets occupational and health standards • Facilities management of security fobs • Manage repair and maintenance of all fixed assets in the premises • Ensure all appropriate insurances are in place • Liaise with service providers ie landlord, banker, insurance broker Quality Assurance (QA) • Ensure adherence to ISO 9001:2015 standards • Ensure all policies / procedures are up to date and scheduled for review • Update policies and procedures when identified by Quality Assurance Committee• Liaise with external auditor • Ensure internal audits are performed in a timely manner • Process CIR’s & update calendar of important dates Marketing • Manage event marketing which include client functions, budget luncheon & October Business Month partner events • Manage Sponsorship responsibilities • Manage client Christmas gifts • Manage stocks of promotional material and determine appropriate promotional materials • Ensure CV’s are up to date and photos are current • Manage formatting and distribution of information newsletters • Liaise with graphic designer / printer • Manage Social Media, including website, face book, LinkedIn and twitterHuman Resources Recruitment • Arrange position vacant adverts – Seek, print media, artwork • Arranging for interviews, determine outcome of interview & Letters of offer • Arranging for all facilities to be in place for new employees ie Buddies, IT hardware, digital certificates, IT access, phones and fobs • Ensure all employment documentation is received • Undertaking induction & probation schedules • Arranging for the departure of employees including undertaking exit interviews, email management Trainees’ and CA Candidates • Ensure all agreements and processes in place for study leave requirements • Providing information to 3rd parties regarding staff’s employment status • Overseas visa holder application & management • Manage performance review scheduling Support / Tax Administration staff • Undertake regular catchups and performance reviews of Support staff • Manage work load, work flow and career enhancement of support team Information Technology • Liaise with the Practice's outsource IT management contractor • Log IT jobs which include hardware issues, software updates, user issues • Manage laptop and desktop assets, including portable assets ie printers / USB modems• Project manage new desktops / laptops / photocopiers Secretariat / management team member • Secretariat and input into weekly Directors meetings • Assistance with preparation for Strategic Planning meeting • Management meeting agenda preparation and minute taking Person Specification The Practice Manager is expected to demonstrate a high level of achievement or capability in the following areas: • Excellent communication skills, including verbal and written with external parties, team members and professional staff • Leadership and team building experience • Ability to devise and review systems for operational efficiency and control • Skills in book keeping, payroll, superannuation and business reporting • Knowledge of relevant legislation • Knowledge of employment conditions • Commitment to continuing education • Decision making competence • Confidentiality Qualifications and previous experience with the following is advantageous: • Bachelor of Business in Commerce, Accounting or Management • Previous employment in a similar position within a service industry • High level of knowledge and experience with XPM, Xero & Office 365 products • Data integration Key Measures of Performance • Accurate and timely provision of all elements detailed above • Deliver on goals which have been developed from Directors Strategic Planning meetings and identified at annual performance review.At Randstad, we are passionate about providing equal employment opportunities and embracing diversity to the benefit of all.
