The Opportunity
We are looking for a reliable, highly organised & experienced Property Administration & Front of House Coordinator to serve as the critical spine of asset operations. Working under a highly supportive, nurturing, and growth-focused manager, you will handle a high-volume workload featuring constantly shifting priorities, multiple stakeholders, and asset compliance demands.
The ideal candidate is a highly resilient, unflappable property administration professional who prides themselves on long-term stability. If you possess commercial grit, an eye for financial detail, and the maturity to confidently run the "front line" of a thriving retail environment, you will find a rewarding, long-term professional home here.
Key Responsibilities
You will be responsible for a dynamic mix of all-round administration, operations support, basic marketing, and financial tasks:
...
- Asset Compliance & Data Control: Document and track tenant compliance documents. Manage contractor compliance files, mandatory licenses, site inductions, and database onboarding using internal risk and property management software.
- Commercial Property Finance: Supervise the monthly rent roll process, raise purchase orders, process accounts payable invoices, and manage direct recoveries/ad-hoc tenant utility charges (electricity/water usage etc).
- Tenancy & Leasing Support: Prepare licensing agreements, manage community/charity bookings, and directly support the operations team with casual leasing compliance and site verification checks.
- Front of House & Operations Support: Manage contractor access registers, handle switchboard communications, maintain stakeholder lists, and act as the primary point of contact for tenant queries, emergency management procedures, and customer feedback.
What We Are Looking For
- Commercial Property Literacy: A strong administrative background with experience handling commercial invoice tracking, accrual accounting principles, or real estate/property databases.
- Unshakeable Resilience: The capacity to manage high-volume, competing asset priorities independently without getting flustered or needing day-to-day micromanagement.
- Tech-Readiness: High level of computer literacy across the MS Office Suite (Word, Excel, Outlook, Teams). Comfort learning new, enterprise-level property management software is essential (full system training provided).
- Long-Term Ambition: A genuine desire to embed yourself in a team, absorb guidance, and establish a stable, long-term tenure as the operational heart of the organisation.
- Industry Experience: Prior experience in corporate office management or operations administration is highly regarded.
