About the Role
Reporting to the Chief Executive Officer (CEO), the Head of Executive Office is a pivotal role responsible for enabling the effectiveness of the CEO and Senior Leadership Team. This role ensures strategic alignment, operational excellence, and high-level coordination of Brisbane 2032’s internal team and collaboration across a complex external stakeholder group. The Head of Executive Office acts as a trusted advisor, strategic partner, and integrator, enabling delivery of the CEO’s priorities internally and externally, and informing decisions by synthesising insights across portfolios and anticipating emerging risks and opportunities.
Key Responsibilities include but are not limited to:
Executive Coordination
... - Lead the Executive Office function, ensure seamless operations and strategic alignment with CEO priorities.
- Coordinate with the CEO’s Executive Assistant to understand diary commitments and manage the CEO’s agenda, briefings, and communications, ensuring timely and accurate information flow.
Board Support
- Support the CEO in preparation of materials, presentations, speaking notes and briefings for Board and Committee meetings.
- Create a strong working relationship and communication between the Office of the CEO and the Office of the President.
Internal Organisational Coordination
- Assist the CEO in preparing Senior Leadership Team (SLT) meeting agendas and content for organisational information sharing and alignment.
- Collaborate with the Communications team to plan monthly all-staff "team huddles."
Strategic Planning, Influence, Integration and Delivery
- Partner with the Program Management Office and the Chief Strategy Officer to monitor strategic objective progress and escalate risks/issues.
- Manage and track CEO-led strategic initiatives and commitments from IOC/IPC meetings, governance forums, and planning, ensuring visibility and timely risk escalation.
Stakeholder Engagement
- Act as a primary conduit for CEO-level stakeholder relationships.
- Support the CEO in engaging with a complex stakeholder group and key stakeholders including:
- Australian Olympic Committee (AOC)
- Paralympics Australia (PA)
- Games Independent Infrastructure Coordination Authority (GIICA)
- Olympic and Paralympic Games Office (OPGO)
- Others as needed
This includes aligning agendas and attendees, preparing content, speaking notes, briefings, and minutes/action lists to ensure appropriate follow up.
- Coordinate CEO representation and input into Games governance forums, including the Games Executive Group (GEG), City Readiness Steering Committee, and other cross-government coordination bodies. Ensure timely briefing, follow-up, and alignment with internal stakeholders such as the Company Secretary and Program Management Office.
Leadership and Culture
- Foster a high-performance, values-driven culture within the Executive Office.
- Work with the CEO to build a small and cohesive team to support executive operations and strategic initiatives.
- Role model a culture of excellence, discretion, adaptability, and service orientation aligned with Brisbane 2032 values.
Skills and Experience
- Significant experience in a senior advisory, chief of staff, or executive coordination role within a complex, high-profile organisation.
- Exceptional strategic thinking, communication, and stakeholder management skills.
- Outstanding writing abilities to draft executive-level communications for the CEO.
- Strong understanding of governance, public sector engagement, and large-scale program delivery.
- Discretion, integrity, and resilience in a fast-paced, high-stakes environment.
- Proven ability to leverage data for executive decision-making.
- Experience in major event planning, government relations, or international stakeholder engagement is highly valued.
- Ability to navigate ambiguity, drive clarity and outcomes, and be highly collaborative.
- Maintains confidentiality in all dealings.
- High emotional intelligence (EQ) for reading people and situations, influencing positive outcomes.
