A high-profile federal government agency is seeking a skilled and professional Executive Assistant (APS5) to join the Office of the CEO on a 12-month contract.

Reporting to the Executive Officer, the Executive Assistant will provide high-level administrative and executive support to the CEO and the broader Office of the CEO. This is a newly created position, established to assist in managing the growing responsibilities of the Executive Office. You’ll be joining a tight-knit and high-performing team that includes an Executive Officer and a Reception Officer, working in a fast-paced and dynamic environment.
Key Responsibilities:
- Provide high-level support to the CEO, including managing calls, emails, correspondence, diary and travel arrangements, and anticipating executive needs such as preparing agendas, briefings, and presentations.
- Maintain accurate records using TRIM, track incoming documents for appropriate action, and manage databases including travel and contract registers.
- Arrange internal and external meetings, organisation-wide events, and provide secretariat support including minute-taking and action follow-up.
- Act as a key liaison for internal and external stakeholders, support reception duties, and foster collaboration across program teams.
- Process invoices and credit card expenses, manage procurement tasks, and assist with contract and financial administration.
- Uphold high standards of probity and accountability, ensuring consistent and ethical engagement with all stakeholders.
Ideal Candidate:
- Demonstrated experience in executive and administrative support roles, preferably in a government or public sector setting
- Excellent written communication skills and the ability to tailor content for a range of audiences
- Strong organisational skills and the ability to manage competing priorities
- Proficiency in Microsoft Office, electronic document management systems (TRIM), and financial systems (SAP)
- Experience in procurement and contract management processes
- A proactive and professional approach to supporting senior stakeholders

- This role requires full-time attendance in the office with the opportunity to WFH ad-hoc
