Your New Role
As our corporate receptionist, you'll be the first point of contact, ensuring a seamless and professional experience for all clients and visitors. You'll manage the front desk operations with a focus on exceptional customer service and effective communication, contributing to the smooth running of the business unit. This role requires you to carry out essential administration duties as part of a professional team, providing critical day-to-day support that allows the firm to focus on delivering valuable insights across the project lifecycle. Your efforts will directly support our commitment to collaborating with clients and ensuring operational efficiency.
Key Tasks and Duties:
- Reception & Front of House:
- Professionally answering and handling all incoming calls, redirecting as necessary.
- Greeting and welcoming visitors, directing them to appropriate meeting rooms.
- Maintaining a tidy, professional reception area and monitoring meeting room schedules.
- Managing all postal services duties.
- Coordinating office catering arrangements.
- Office Administration:
- Ordering and managing stationary supplies.
- Assisting with the formatting of project reports, business cases, minutes of meetings, contracts, and spreadsheets.
- Ensuring all documents are filed in line with our Integrated Management System (IMS) and that office filing is up to date.
- Organising and coordinating staff travel arrangements.
- Finance Support:
- Assisting staff members with monthly expense claims.
- Recording any purchases made on the business unit credit card and EFTPOS card in the relevant logs and ensuring all receipts are uploaded to the server.
- Ensuring all accounts payable invoices are issued to finance in a timely manner for payment.
- Facilities Management:
- Maintaining a consistently tidy office environment.
- Managing dishwasher duties.
- Handling and raising any building issues appropriately and organising necessary repairs and maintenance.
Your Skills and Experience
We are looking for a motivated professional who possesses:
- A minimum of 1 year of relevant receptionist or corporate front-of-house experience.
- The ability to be an independent worker with demonstrated initiative and pride in your work.
- Excellent communication, organisation, and collaboration skills.
- A strong sense of business acumen and professional presentation.
