Key Responsibilities:
Executive & Diary Management: Proactively manage the Executive Director’s day to day diary and shared mailboxes; oversee complex travel, accommodation (via internal Government portals), expenses, and invoicing.
High Level Governance & Briefings: Draft, review, and quality assure briefings, executive papers, board/committee reports, and complex correspondence, ensuring strict compliance with organisational standards.
Secretariat Support: Provide end to end administration for critical meetings, including coordinating agendas, preparing supporting documentation, taking minutes, and rigorously tracking action items.
Stakeholder & Client Relationship Management: Act as the primary point of contact for the Executive Director, building collaborative relationships with stakeholders.
Project & Procurement Support: Undertake research, analysis, and ad-hoc project work to inform strategic planning, alongside managing purchasing and procurement activities.
Continuous Improvement: Ensure all office practices comply with relevant legislation and policies while actively championing administrative best practices.
Experience required:
Proven Executive Support: Demonstrated experience as a senior EA or Executive Officer supporting C-Suite, Executive Directors and Government officials.
Exceptional Communication & Writing: Advanced skills in drafting executive level papers, briefings and official reports with a high degree of accuracy.
Political Acumen & Discretion: Proven ability to manage highly sensitive and confidential information with absolute integrity.
Proactive Problem Solver: A collaborative team player who can manage multiple Director's needs, anticipate competing priorities, and meet timelines.
- Mandatory Checks: Current Working with Children's Check and National Police Check.
