About the team:
The People team is a multi-functional Human Resource (HR) team supporting our client/The Agency to achieve its strategic objectives through the delivery of high-quality, client-focused HR services. Key Responsibilities
- Manage and triage the team mailbox, responding to employee and business queries and allocating matters appropriately to ensure timely response.
- Respond to low to medium complexity pay and conditions enquiries, providing general advice on pay, allowances, leave entitlements, and employment conditions in line with Agency Enterprise Agreement and policies.
- Escalate medium to complex issues, risks or anomalies to senior colleagues in a timely manner.
- Complete fortnightly pay checking activities to verify pay accuracy, identify discrepancies, and ensure corrections are escalated to payroll provider for action.
- Liaise with external payroll providers to support accurate and timely processing of payroll and conditions, including resolving pay queries, manual adjustments due to system limitations etc.
- Manage the offboarding process, including coordinating offboarding documentation, ensuring final pay requirements are actioned, and supporting relevant stakeholders through the required steps.
- Maintain accurate HR and payroll registers and records, ensuring data integrity, confidentiality and appropriate document management practices.
- Drive business improvement within pay and conditions remit, by creating, reviewing and updating internal SOPs, templates and internal guidance material.
- Support the broader People team activities as required, contributing to team priorities
Key Capabilities:
- Demonstrated experience supporting payroll operations, including pay checking, identifying discrepancies and ensuring accurate processing of employee pay.
- Sound ability to provide general advice on pay, conditions and entitlements, applying relevant policies and employment instruments with appropriate judgement.
- Proven ability to manage a high-volume shared inbox, triage and prioritise requests, and deliver timely, professional responses with a strong customer service focus.
- Demonstrated experience liaising effectively with internal stakeholders and external payroll providers to resolve queries and support accurate, timely outcomes.
- Strong ability to identify risk, exercise sound judgement, and escalate medium to complex matters appropriately to senior colleagues
- Demonstrated capability to improve payroll/HR administrative processes, including creating and maintaining SOPs, registers and guidance materials that increase consistency and efficiency.
- High attention to detail and ability to handle sensitive information with discretion, maintaining accurate records and operating with professionalism and integrity
Additional information
We are ideally looking for someone with existing APS payroll experience. While this role does not involve formal payroll processing, this experience would be beneficial in assisting with the investigation and resolution of employee queries. A key component of this role is responding to general employee enquiries, so an understanding of, or ability to interpret, policy (including at a basic level) is highly desirable.
Qualifications:
- Qualifications in Human Resources, or other relevant disciplines highly desirable.
- Understanding of Vocational Education and Training (VET) in Australia including the regulatory framework (or capacity to quickly develop such an understanding).
