Responsibilities Of The Role:
- As the first point of contact for new client enquiries for your Team, ensure that the client experience is both positive and professional.
- Provide team specific information for tender submissions when requested.
- Advise Team members on how to complete administrative aspects of their roles.
- Assist team members and take action, if able for all queries including, rosters, leave, uniforms or PPE, training, administration or process queries.
- Assist other Managers and staff with queries related to your team and take action where able to ensure that the staff experience is professional and upholds the company's strong reputation.
- Assist with scheduling regular team meetings covering safety, quality, feedback, workloads, and resourcing.
- Record and maintain a register of outcomes for Team members so they are accountable for matters assigned to them.
- Assist with preparing quotations for clients.
- Provide team specific information for tender submissions when requested.
- Book and communicate travel and accommodation requirements.
- Book medicals or other assessments as required.
- Create projects in accordance with agreed practice.
- Prepare client invoices (either in draft or submitted) as directed by the Manager.
- Ensure monitoring of system notifications for relevant certifications, training and checks to remain valid and action renewal where required.
- Provide support and assistance to other Teams where required, including training new staff and backup for periods of planned and unplanned leave.
- Work collaboratively with the other Team and their Administrators to ensure consistency across the company.
Ideally You Will Have:
- Strong customer service and communication skills.
- Demonstrated MS Office skills.
- Previous experience in a Customer Support or Administrative role and ideally within the construction industry.
- Great attention to detail.
- The ability to manage multiple priorities and multitask effectively.
- The ability to be adaptable working well within a team and also autonomously when needed.
