Are you a highly organized professional with a knack for streamlining operations? We are seeking a proactive Administration Officer to provide comprehensive support to our busy Infrastructure Services department. In this role, you will be the backbone of our administrative functions, ensuring seamless service delivery to both our internal teams and the local community.
The Opportunity
As an Administration Officer, you will handle a diverse portfolio of tasks ranging from customer service and facilities coordination to financial processing and data management. You will work closely with field staff, contractors, and residents to ensure infrastructure requests are handled with precision and care.
Key Responsibilities
... Customer Engagement: Act as the first point of contact for telephone and face-to-face inquiries, managing field service requests and resolving general queries.
Operational Support: Coordinate bookings for meeting rooms, sporting grounds, and parks, including managing key collection and catering.
Workflow Coordination: Process asset protection permits, schedule site inspections, and utilize corporate databases to issue work orders to field teams.
Administrative Excellence: Prepare professional correspondence, record meeting minutes, and assist with large-scale mail-outs.
Financial & Resource Tasks: Manage payroll data entry, purchase office supplies, and verify invoices against orders.
Safety & Compliance: Maintain accurate records for risk and cost control while ensuring all administrative procedures align with OH&S standards.
What You Bring to the Role
To be successful in this position, you should possess:
Qualifications: A Certificate III or IV in Office Administration (or equivalent).
Experience: Proven experience in a broad administrative role, ideally within an engineering or field-services environment.
Technical Savvy: Proficiency in the Microsoft Office suite and experience with corporate databases (e.g., Objective or Proclaim).
Communication Skills: Exceptional verbal and written skills with the ability to gain cooperation from a diverse range of stakeholders.
Organization: A "can-do" attitude with the ability to plan and prioritize tasks at least one week in advance to meet tight deadlines.
License: A current valid Driver's License.
