Administration Support Officer – Strategic Planning
- Hourly Rate: $44.18 per hour excluding superannuation

About the Role
Our Local council client is seeking a skilled and proactive Administration Support Officer to provide high-level administrative and customer service support to our dynamic Strategic Planning department.
Based in beautiful Daylesford and reporting directly to the Principal Strategic Planning officer , you will play a pivotal role in ensuring the smooth delivery of planning projects, community consultations, and daily departmental operations.
Key Responsibilities
- Customer Service Excellence: Respond to community and stakeholder enquiries efficiently and professionally. You will gather information and provide accurate advice on a range of Strategic Planning enquiries, keeping in mind the ramifications of misleading information.
- Project & Research Support: Undertake research and compile clear, accurate documentation to support strategic planning projects led by the Council or external consultants.
- Community Engagement: Assist the team in the planning, coordination, and delivery of community engagement and consultation activities.
- Departmental Administration: Manage calendars, coordinate meetings, prepare agendas and minutes, and ensure all records are accurately maintained in the approved document management system.
- Financial Administration: Process purchase orders, invoices, and prepare procurement documentation in strict accordance with Council procedures.
- Workflow Coordination: Ensure prompt follow-up on correspondence, reports, and complaints to maintain seamless communication across the organization and with external stakeholders.
Key Selection Criteria
To be successful in this role, you will need to demonstrate:
- Experience: Proven experience in a high-level administrative and customer service role, ideally within a complex or Local Government environment.
- Industry Knowledge: Prior exposure to or experience supporting a Strategic or Statutory land use planning team is highly regarded.
- Technical Skills: Proficiency in contemporary software systems, including document management platforms, databases, and customer request systems.
- Communication: Well-developed written and verbal communication skills, with the ability to convey complex information clearly and engage professionally with a diverse range of stakeholders.
- Time Management: Strong organizational skills with the ability to prioritize tasks, manage competing demands, and maintain strict attention to detail under minimal supervision.
