About the Role
Step into a pivotal role within the President’s Office, driving seamless operations for the Office of the President. You will master complex diaries, coordinate high-level events and travel, and manage important stakeholder communications. We are looking for an adaptable, highly organised professional who brings absolute discretion and a positive approach to a fast-paced environment.
Key Responsibilities
- Providing diary management, travel coordination, expense processing and administrative support to the Director roles within the Division to ensure efficient, professional and smooth operations of the team.
- Managing any shared mailboxes ensuring efficient workflow tracking and timely escalation of urgent matters.
- Support the planning, coordination and communication of key stakeholder meetings and workshops.
- Capture and manage stakeholder details across the Office of the President.
- Helping with event coordination, logistics and delivery which may at times require travelling and working from different locations.
- Assist with tracking of budget and financial reporting.
- Handling confidential information in a professional and discreet manner.
- Provide support to the wider organisation as required.
- Consistently demonstrate Brisbane 2032 Values by fostering a safe, inclusive, and collaborative team culture while upholding strict ethical standards, transparent governance, and workplace policies.
Skills and Experience
- A highly adaptable and collaborative team player, ready to 'roll up your sleeves' to take on any task and solve problems collectively within a small team.
- Proven ability to handle sensitive information with confidentiality and discretion.
- Community focused individual with a strong interest in community engagement, inclusion and connection across all parts of Queensland.
- Experience working with Government departments and senior officials is desirable but not essential.
- Exceptional attention to detail, ensuring accuracy and quality in all aspects of work.
- Adaptability and agility in responding to changing business needs and priorities, remaining calm and positive under pressure in a fast-paced and demanding environment.
- Proficient in Microsoft 365 (Teams, PowerPoint, Word, Excel, SharePoint) and other relevant software applications and systems.
