Administration, Order Desk and Reception Duties:
• Answering and directing incoming phone calls
• Order entry and processing of client orders
• Performing internal sales support by emailing information and documentation directly to clients as necessary
• Attending to customer in person cash sales and then processing the transaction in their system
• Maintaining physical invoices/shipping document files and onsite archives
• Principally responsible for updating and maintaining the crucial documentation on share drive folders and MS Teams
• Assisting in maintenance of company Quality Systems and admin procedure documents and updating them as required
• Primarily responsible for managing and maintaining all office consumable supplies and stationery
• Minute taking at various company meetings when needed
• Checking the mail and taking care of the banking as required
• Assisting with end of month processes, such as shipped orders sent for invoicing, consumables receipts passed to accounts and other order desks tasks finalised
• Assisting with stocktakes
• Working with the Operations Manager on various company projects as they arise
• Ad-hoc reporting, filing, data entry and other tasks as requested.
It is Essential You Have:
• Great computer skills, the ability to create professional email correspondence and some experience with spreadsheets
• A friendly and professional phone manner
• Excellent organisational skills with the ability to be adaptable to sudden priorities and projects that come in and can work collaboratively within a team as well as working well autonomously
• The ability to follow established procedures accurately
• Sound understanding of data entry and the ability to follow order processing procedures accurately
• Sound verbal and written communication skills.
