Key Project Support TasksThis role is designed for someone who thrives on organisation and providing reliable support to Project Managers/Directors. You will be the essential backbone, focusing on:
- Provide robust administrative and coordination support to Project Managers across all infrastructure maintenance and capital streams.
- Assist in coordinating project meetings, site visits, and stakeholder workshops, including managing logistics and minute taking.
- Prepare, review, and update essential project documentation (status reports, meeting minutes, financial summaries, etc.).
- Provide necessary reporting and dashboard updates to support the MIIP governance framework.
- Maintain accurate program schedules, milestones, and deliverables using departmental project systems
- Assist in maintaining critical registers (risk, issues, decisions, and lessons learned).
- Ensure rigorous document control; make certain all records are accurate and accessible in line with Government policies (e.g., DMS, SharePoint).
- Support procurement activities, including preparing purchase orders and contract documentation, and tracking contract deliverables.
- Monitor and report on project expenditure, assisting with necessary financial reconciliation.
- Support continuous improvement initiatives and help drive consistency across maintenance and capital project governance standards.
- Undertake other duties as required that align with the program delivery.
Skills to Bring to the Table (Desirable Requirements)We are looking for a candidate who is proactive and detail-focused, ideally bringing:
- 2+ years of project or administrative support, ideally within asset management or infrastructure.
- Demonstrated ability to utilise project management tools such as MS Project, 3PCM, SAP, or equivalents.
- Understanding of project governance, financial tracking, and procurement within a government environment.
- Exceptional attention to detail, accuracy, and strong organisational skills, with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Familiarity with Infrastructure or other Queensland Government systems and standards.
