• Respond to Head Office queries relating to payments and reconciliations

• Support compliance with internal procedures and Head Office requirements.

• Ensure transactions are correctly coded, supported, and reconciled

• Liaise with Head Office or external providers for technical support when required under supervision of Service manager.
• Manage filing systems, correspondence, documentation, and general office processes
• Prepare and issue service and parts invoices accurately and in a timely manner.
• Coordinate with the service team to ensure correct job details, labour, and parts are captured.
• Respond to client queries regarding service and parts invoicing (annual bookings cycle).
• Workflow software management (scheduling, job creation, inventory levels, input of client details).
• Manage quotes and estimates with Service manager approvals
• Maintain organised digital and physical records of service documentation.
• Respond to Head Office queries relating to payments and reconciliations.
• Support new Business Operations App (being rolled out in 2026)

• Provide day-to-day administrative support to management, sales, service, and operations teams.

• Identify and resolve discrepancies in a timely manner.

• Organising and manage vendor/ supplier accounts for parts ordering
