About the Role
The Reporting and Governance Manager, reporting to the Head of Program Management, will design, implement, and continuously improve reporting frameworks, project management systems, and governance structures for Brisbane 2032’s PMO Centre of Excellence ‘Hub’ and its Functional Area ‘Spokes’. This role will deliver accurate, actionable reporting, dashboards, and governance solutions to enable data-driven decision-making.
The role champions the evolution of reporting, PM systems, and governance, ensuring optimisation across stakeholder needs, internal policies, and the Games lifecycle. Essential for positioning the PMO as a value-creating Centre of Excellence, this role ensures consistency, transparency, and adaptability in a complex, multi-entity environment, enabling both strategic oversight and operational agility. The role requires balancing robustness with flexibility in reporting, standards, and governance to support compliance and rapid issue resolution across the strategy, planning, readiness, and Games-time phases.
Key Responsibilities
- Develop, implement, and continuously improve integrated reporting and governance frameworks. Lead the design and then implement AI-enabled dashboards and automated reporting tools, ensuring user-friendly outputs that meet the needs of a broad range of recipients.
- Ensure an efficient operating rhythm with an effective information flow that reduces bottlenecks and ensures accountability.
- Lead the selection, implementation, and refinement of project management systems, templates, and tools to ensure consistent delivery and reporting across the Hub and Spokes. Standardise systems and tools for efficiency, comparability, and knowledge sharing, balancing consistency with scalability, adaptability, and user-centric requirements to meet compliance and evolving organisational needs.
- Establish and lead continuous improvement and optimisation of reporting, governance, and management systems, integrating feedback and best practices. Promote data literacy, transparency, optimisation, and accountability across the PMO and delivery teams.
- Develop and improve PMO handbooks/playbooks, templates and tools. Support the Head of Program Management evolve the ‘Hub’ and ‘Spoke’ model, ensuring it remains relevant and value-adding as the organisation transitions through its lifecycle.
- Partner with Functional Area leaders, delivery partners, and external stakeholders to ensure reporting and governance frameworks meet diverse needs and requirements.
- Support the Head of Program Management, or other sponsor, by leading and delivering special projects and initiatives across ‘Hub’ and/or ‘Spoke’ areas.
Skills and Experience
- Demonstrated success in designing and operating reporting and governance frameworks in complex, multi - entity high - visibility programs and projects (requiring internal and external delivery models) with immovable deadlines.
- Hub and Spoke Model: Experience developing and embedding systems, reporting, and governance in a federated PMO ‘Hub’ and ‘Spoke’ model – operating from a Centre of Excellence ‘Hub’ while partnering with ‘Spokes’ to provide tailored service levels.
- Expertise in designing and iterating dashboards, automating reports, executive reporting, and data analytics to provide predictive, actionable insights and narratives. AI literate, familiar with ethical AI use and governance in complex, high-profile settings. Proficient in developing reporting and insight narratives for executive decision-making.
- Demonstrated mastery in governance framework design and implementation, forum management, secretariat best-practice, and optimising information flows for decision-making.
- Proven ability to select, implement, and optimise project management tools, templates, and delivery reporting across large-scale operations. Smartsheet experience and proficiency is a plus.
- Demonstrated experience with process improvement, capability development, and change management in dynamic environments. Ability to learn quickly, adapt to continuous change, and scale processes and governance effectively.
- Adept at aligning internal customer expectations and organisational needs with external stakeholder requirements. You will have a superior ability to collaboratively solve problems, build trust, and respectfully challenge senior stakeholders.
- Mega - Project Environment would be beneficial but is not essential to success in the role.
