The Role
Working closely with the site operations and transport team, you will be the "engine room" of the Auburn site’s morning administration. Starting bright and early at 5:00 AM, you will oversee daily dispatch paperwork, track driver compliance, and keep systems continuously updated.
Your day-to-day will involve:
Daily Dispatch & Paperwork Reconciliations: Perform 5:00 AM setup routines, including checking driver devices, reviewing run sheets and worksheets, ensuring loads are closed out in the system, and verifying Proof of Delivery (POD) records.
Driver Compliance & Onsite Check-Ins: Conduct quick 5-minute driver check-ins, process system scans, confirm driver logins (e.g., verifying booked trip ticks in Fox Tracks), and audit driver break logs for compliance.
Transport & Contractor Communications: Act as a key phone contact to take detailed messages, answer incoming driver and site inquiries, fill in load CADs, and proactively call or chase up external transport contractors.
Systems Management & Tracking: Use strong computer skills, Excel, and tracking systems (Fox Tracks) to process operational data, manage load updates, and maintain high data integrity.
General Office Administration: Maintain digital and physical filing systems, record driver logouts, and apply high attention to detail across all site documentation.
About You
You are a passionate, reliable, and driven Administrator who stays calm under pressure, communicates clearly, and possesses the analytical sharpness to catch discrepancies before they become operational issues.
- Impeccable attention to detail
You have strong computer/software skills, including proficiency in MS Excel and logistics systems
You understand the nuances of warehouse administration, driver check-ins, run sheets, and POD processing.
You are comfortable with early starts and ready to hit the ground running for a 5:00 AM – 1:00 PM schedule.
You possess strong phone communication skills and can build quick rapport with everyone from truck drivers and transport contractors to site coordinators.
