About the Role & Unit
An opportunity exists for an Events Officer to join the Diplomatic Relations and Protocol unit within a central State Government department. This position supports the delivery of high-level state functions, diplomatic projects, protocol initiatives, and official events aligned with State Government priorities.
Working closely with senior management, external agencies, and diplomatic channels, the role involves detailed operational planning, collateral production, and administrative support within a fast-paced and politically sensitive environment.
Key Responsibilities
Event Delivery & Coordination: Assist in planning, scheduling, and executing state functions, official visits, and protocol projects. Prepare event documentation including run sheets, briefings, and guest lists.
Collateral Production: Coordinate the layout, printing, and distribution of official event materials, seating charts, name cards, and menus.
Stakeholder Engagement: Establish and maintain cooperative working relationships across government departments, executive offices, and external stakeholders.
Protocol & Cultural Awareness: Apply an understanding of parliamentary processes, government structures, diplomatic protocol, and cultural norms during event execution.
Administrative Operations: Deliver core administrative support to facilitate business unit operations, managing records via electronic document management systems (Objective) and financial processing software (Basware).
Key Capabilities & Selection Criteria
Project & Event Management: Demonstrated experience assisting in the delivery of complex events and simultaneous projects under tight time-frames.
Communication Skills: Strong written and verbal communication capabilities, with the ability to liaise professionally across diverse stakeholder groups.
Government Acumen: Sound understanding of government structures, executive processes, and ministerial protocols.
Technical Skills: Proficiency in Microsoft Office applications, with experience using record management systems (Objective) or financial software (Basware) highly regarded.
Compliance & Screening: A current Nationally Coordinated Criminal History Check (NCCHC) is mandatory.
