As the Executive Assistant within the Loyalty division of a global aviation company, you will play a pivotal role in ensuring the smooth operation of Executive Managers' offices. This involves providing comprehensive administrative and secretarial support, managing schedules, coordinating meetings and events, preparing documents and reports, and handling both internal and external inquiries with discretion and professionalism.
Key Responsibilities:
- Provide high-level administrative and secretarial support to Executive Managers within the Loyalty division.
- Manage Executive Manager's diaries, including scheduling meetings, reviewing action lists, and prioritising tasks.
- Prepare and edit detailed presentations, documents, and reports using MS Word, Excel, and PowerPoint.
- Assist with writing meeting minutes and distributing agendas.
- Manage core office functions, including timely payments, tracking expenditures, and coordinating travel arrangements.
- Coordinate functions, events, and roadshows as required.
- Assist in on-boarding new staff by managing access and IT requests and distributing key messages.
- Prepare reports on a weekly and monthly basis, organising and preparing complex documents.
- Manage speaking engagements on behalf of the Executive Managers.
Requirements:
- 3-5+ years of experience in an Executive Assistant position, preferably supporting an Executive or Senior Leader.
- Tertiary education in Business Administration or similar field is desirable.
- Highly developed time management and organisational skills, with the ability to prioritise tasks and meet tight deadlines.
- Self-motivated with the ability to work independently with minimal supervision.
- Proficiency in MS Word, Excel, PowerPoint.
- Strong written and oral communication skills, with the ability to interact effectively with all levels of the organisation and external stakeholders.
- Ability to work under pressure and meet strict time constraints
