Operating across high-volume, dynamic project environments, our client delivers essential building infrastructure nationwide. In this high-visibility position, you serve as the critical operational bridge connecting human resources, health & safety, and site delivery teams. By ensuring all site personnel, subcontractors, and heavy plant equipment are 100% compliant, ticketed, and scheduled prior to setting foot on site, you will directly safeguard project timelines and drive operational success.

Key Responsibilities
Workforce On-boarding & Compliance Verification: Collect, audit, and log mandatory trade licenses, high-risk work permits, White Cards, pre-employment medical checks, and drug & alcohol clearance results.
Induction Coordination: Schedule incoming workers for safety inductions across client, principal contractor, and site-specific frameworks, maintaining accurate compliance tracking to ensure no worker enters site without required training.
Travel & Accommodation Logistics: Arrange domestic flights, charter transport, vehicle hires, and local accommodation for project teams and FIFO/DIDO personnel.
Site Access & Badge Management: Create and update profile records in workforce management software (e.g., Pegasus, Damstra, KMS, or SAP) to issue site security passes and access credentials.
Subcontractor & Plant On-boarding: Gather certificates of currency (insurance), Safe Work Method Statements (SWMS), and pre-mobilisation inspection certificates for machinery and heavy plant equipment.
Roster & Schedule Administration: Maintain mobilisation trackers, site headcount logs, and shift rosters, communicating planned workforce arrivals to site managers and project leads.
Cross-Department Liaison: Serve as the primary administrative point of contact for new hires, site supervisors, HR, and travel teams to resolve paperwork gaps swiftly.
Key Criteria & Requirements
Proven administrative experience in site mobilisation, workforce on-boarding, or operations support within construction, engineering, industrial, or resources sectors.
Practical knowledge of workforce management platforms (e.g., Pegasus, Damstra, KMS, or SAP) and travel booking tools.
Clear understanding of mandatory site safety tickets, high-risk licenses, White Cards, medical clearance checks, and SWMS documentation.
Exceptional organisational skills, high attention to detail, and skill in tracking changing site rosters accurately.
Strong written and verbal communication skills to liaise effectively across internal departments and external candidates.
