About the Role

Our client is a family owned and operated business specialising in premium glass and aluminium solutions. We are seeking a detail oriented and organised Administrator to join our team in Tullamarine on a full time, 12 month contract. Reporting directly to the Team Leader, you will play a key role in managing daily office operations, coordinating project administration, and assisting our clients and suppliers.

Key Responsibilities

Front Office & General Admin

• Welcome visitors, answer calls, and respond to general email inquiries.
• Manage daily mail, couriers, and PO Box collections.
• Keep office and factory supplies topped up (stationery, kitchen essentials).
• Help manage basic supplier accounts and service schedules.
• Maintain a tidy, welcoming, and safe office environment.

Project & Office Documentation

• Type up and email formal client quotes and update tender lists.
• Organise completed job files, scanning documents, and updating online portals.
• Send out client handovers, including warranties and compliance certificates.
• Assist with basic site safety packs (SWMS) and booking technician visits.
• Handle routine fleet admin like toll accounts (Linkt) and vehicle regos.

What We’re Looking For

• Everyday Admin Skills: Solid office admin experience with intermediate MS Office skills (Word, Excel, Outlook).
• Great Communicator: Friendly, clear, and professional when speaking to clients and team members.
• Organised & Proactive: Great attention to detail, and happy working independently.
• Bonus Points: Exposure to construction/builder portals (Aconex, EstimateOne, or Procore) is nice to have, but not essential!
• Availability: Ready to hit the ground running straight away!
