About the Role
Our client is a VIC government organisation based in Footscray VIC. They are currently seeking an Accounts Payable Officer to come in and work with them on a temp contract until 27th November 2026.
Requirements for the role include:
- Relevant tertiary qualification in Accounting, Finance, Commerce or similar
- Knowledge of accounts payable processes and sound knowledge of the relevant legislation including current GST legislation and its application in terms of invoicing
- Experience with Civica system (Desirable, not essential)
Key responsibilities will include:
- Invoice & Payment Processing: Review, code, and process tax invoices, sundry payments, credit notes, and Councilor allowances accurately and in accordance with policies, GST rules, and statutory requirements.
- Reconciliation & Financial Reporting: Perform regular reconciliations of creditors, ledger modules, statements, and Corporate Charge Cards; prepare end-of-month reports, accruals/prepayments, and ad-hoc financial statements.
- Payment Run Management & Refunds: Prepare weekly payment runs, investigate EFT rejections, process bond and fee refunds, and manage corporate card transactions in ProMaster within delegation limits.
- Vendor & Customer Relations: Liaise with suppliers, staff, and external customers regarding invoices, payment queries, outstanding receipts, aged debt, and general correspondence.
- System Administration & Training: Deliver system support and training to staff for accounts payable, charge cards, and requisitioning modules, while maintaining master vendor records and category setups.
- Governance, Compliance & Process Improvement: Maintain AP policies and procedures, ensure secure record-keeping, update the Gift Card Register, and participate in system upgrade testing and internal control enhancements.
- Cross-Functional Finance & Administrative Support: Provide cross-coverage for AP staff, assist with bank reconciliations, payroll, rates, property updates, general journal entries, and other finance duties as directed.
