Project Administrator

Our client, a very well recognised construction company are looking to recruit their next valuable team member! They are based in the Prospect region, giving you an opportunity to work close to home. With recent growth within the business, they require a Project/ Site Administrator to support their busy Project team. This is a permanent opportunity working full time hours, Monday to Friday -flexible hours between 7am to 4:30pm

Some of your main responsibilities will include:

  • Input of delivery dockets, orders, subcontractors and invoices into job costing system.
  • Check reasonableness of invoices and that authorisation is in accordance with the authority levels.
  • Purchasing of goods for site
  • Maintain vehicle registers and logistics.
  • Assist project Safety and Quality representatives with data entry and/or filing, scanning.
  • Document control for the project including;
  • Prepare and collate project correspondence, reports, minutes of meetings and presentations.
  • Plan, implement and record documentation to and from necessary parties including the review and approval of designs, procedures, certifications and records.
  • Issued amended documentation within appropriate timeframes.
  • Issue and track the location of all documents and drawings.
  • Maintain the project library.
  • Maintain complete document control records for all phases of the project.
  • Preparing and compiling project correspondence, reports, minutes of meetings and presentations.
  • Organising project meetings and events.

Your profile will demonstrate:

  • High level of data entry skills – speed and accuracy of input.
  • Demonstrated exposure to job costing, purchasing and accounts ideally within the construction industry.
  • Document control & GST experience.
  • Viewpoint or similar job costing program experience.
  • Intermediate to Advanced use of the Microsoft Office suite.
  • Ability to organise and prioritise tasks whilst under pressure and to meet deadlines. .
  • Ability to foster harmonious working relationships with project and administrative personnel at all levels.
