We are seeking a highly skilled Administrative Support Specialist to join our dynamic team. The ideal candidate will have significant experience in providing high-level administrative support and be adept at developing and maintaining office and administrative systems. Key Responsibilities:
- Serve as the initial point of contact for the Communications Centre by screening calls, answering radio communications from vehicles, and handling routine phone inquiries from the public and staff, referring more complex inquiries to appropriate parties.
- Receive and log equipment and technical failures in relevant systems, escalating issues to the Duty Manager as necessary.
- Maintain up-to-date special event information for Duty Managers and relevant personnel to ensure preparedness and availability.
- Collect and compile pertinent information for managers’ reports or briefing notes.
- Ensure accurate information flow to and from the CAD system, providing necessary data as required.
- Enter real-time information into the CAD system that is relevant and important, assisting managers in addressing employee and patient issues.
- Support the Duty Managers in the recall of staff to duty as needed.
- Develop and maintain effective office and administrative systems to enhance productivity.
- Utilize Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook, to create documents, presentations, and reports.
- Collaborate effectively as part of a team, assisting colleagues to achieve their objectives.
- Maintain stable performance under pressure and in a dynamic environment.
- Retain and recall important information to make informed decisions.
- Ensure accuracy through thoroughness and attention to detail by implementing appropriate checking processes.
- Work rotating shifts of varying or fixed durations, including mornings, afternoons, and nights.
Qualifications:
- Significant experience in administrative support roles.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Experience with CAD systems is desirable.
- Previous experience in a fast-paced environment is a plus.
- Strong judgement in handling confidential matters.
- Initiative and problem-solving skills.
- Ability to work collaboratively within a team.
- Tolerance for stress and ability to maintain performance under pressure.
- Excellent attention to detail and accuracy.
- Flexibility to work various shifts.
Work Schedule:
- The average weekly hours for this role are 37.57 hours, working on a 7-week rotating roster.
- Overtime is not compulsory but when the opportunity arises, it is allocated evenly between staff.
