PURCHASING & ADMIN SUPPORT OFFICER

Randstad Mulgrave is on the hunt for a Purchasing & Admin support officer to support a Global brand in their small head office in Hawthorn East.

This is a newly created role that is starting PART TIME, 4 days per week that could potentially go full time. Due to the nature of this newly created role we are after someone who is agile, flexible and open to ambiguity.

Primary Reporting line to Supply & Logistics Manager with secondary report to Financial Controller, you will be accountable for timely and efficient creation of Purchase Orders and Monitoring of key data for reporting, some finance/accounts assistance (administration duties) as well as strong teamwork and customer support.

Duties:

  • Prompt creation of Purchase Orders and Stock Transfer Orders (STO) in an efficient in timely and accurate manner.
  • Processing of Purchase Orders for Non-Inventory Goods and Services and Sub-Contract Purchase Orders
  • Update & maintain PO log.
  • Prompt creation of Sub-Contract PO’s covering the Decanting of Grease Drum Stock into Tanks or Cartridges. Manage the SAP conversion process from Drum stock in to Tanks or Cartridges.
  • Recording Purchase Orders created and maintaining accurate records order acknowledgement and deliveries.
  • Recording and Maintaining accurate records of Shipping Activity
  • Gathering and maintaining accurate records of incoming shipments for Bulk Mining Lubes and Grease
  • Scanning supplier invoices to the Shared Services Ticketing tool. Analysing issues with returned tickets. Resources used: SAP, online tools, Shared Services, Office Administrator, Management Accountant.
  • Filing completed in a timely manner. Rationalisation and register of archiving boxes carried out.
  • Resources used: Office Administrator, Management Accountant, suppliers, procedures, all staff
  • Other ad hoc tasks are completed in a timely manner as required.

Essential experience required:

  • Sound SAP purchasing knowledge and ability;
  • Advanced computer skills in Microsoft applications;
  • Excellent organisational skills and high attention to detail; Good interpersonal and communication skills
