Agency Overview

My client provides transport services throughout the Sydney CBD. They are a reputable government body who have a goal to keep sydney moving and delivering projects in a safe and timely manner. They treat their staff fairly and are known to be a diverse strong evnironment to work in.

Primary purpose of the role

Provide high level administrative, research, organisational and project management support to the Program Management team including coordinate deliverables of programs, taking Minutes, follow up actions, preparing reports, coordinating meetings.

Key deliverables

  • Identifying, implementing and maintaining efficient project management support/administration including preparation of project documentation, project progress reporting, scheduling project meetings, preparing meeting agendas and taking minutes
  • Collate information and draft management reports in consultation with Program Manager detailing the status of individual projects and issues against specified outcomes in terms of scope, timeframes, budget and stakeholder expectations
  • Preparing professional presentations, maintaining document templates, controlling version and document distribution. Ensure databases/ records are kept updated for all projects in order to provide timely and accurate financial reporting and to facilitate project completion reports as part of project finalisation.

  • Essential Skills / Requirements (Limited to 3)
  • Demonstrate 5 to 7 years’ experience in a Project Office/Coordination or Project Management role in a large multidisciplinary environment. A Tertiary qualification in an appropriate discipline is desirable.
  • Excellent administrative skills, coupled with a general understanding of the project life cycle, project documentation, project standards and methodologies. Experience in using MS Projects, MS Suite, Visio, SAP, HPE Records Manager (TRIM).
  • Superior interpersonal and communication skills and proven ability to engage and liaise with all levels of the organisation and highly developed analytical, numeracy and problem solving skills.
