Job Summary:

This role is to support the IT Project Manager Operations as well as the Services Desk Manager in the Administration, Account Management, Employee Termination, Purchase and Telecommunication of the IT department. The objective is to ensure an exceptional customer service experience, rectifying escalated issues when necessary and ensuring service level agreements are adhered to. The role also includes an element of project work implementing technology across the group.

Key Responsibilities:

Purchase of IT equipment for the entire business:

  • Administration of IT Procurement, purchase order & requisition creation; quotes for IT equipment and software, processing of returned items.
  • Assisting in managing contract negotiations for new or renewed software and hardware.
  • Assisting in Defining, documenting and managing equipment request, procurement and receipt processes to ensure business needs are met in a timely and cost effective manner
  • Managing the submission and approval for Purchase Requests. Follow-up outstanding Purchase Orders; special payment requests, track orders to ensure that they meet agreed SLAs for fulfilment.
  • Goods receipting: Ensure that all invoices received match valid Purchase Orders. Process a wide range of vendor/supplier invoices. Follow up of all outstanding IS&T invoices to ensure they are authorized and paid on a timely basis.
  • Responsible for Telecommunication: looking after Optus and Telstra service numbers & allocation, processing bills; liaising with Optus, Telstra and 3rd Party companies for ordering, fault logging and troubleshooting.
  • Management of Teleconference tools such as Zoom, Skype for Business, Intercall, etc.
  • Building and maintain relationships with 3rd party suppliers and vendors.

Other IT duties:

  • Assisting in defining, documenting and managing team Induction process relying on Senior IT Managers to execute.
  • Preparation of reports when required such as trend analysis, proactive reporting, highlighting abnormal items and providing solutions / recommendations to issues.
  • Provide a high level of customer service to all internal and external customers, e.g. handling general phone enquiries
  • All requests are accurately logged via the Service Desk Tool, monitored and updated through to completion.
  • Efficient prioritization when logging or assigning tickets to other team members. Actively monitoring and providing feedback to customers for outstanding problems.
  • Work with IT Project Manager - Operations to: Schedule and ensure IT team meetings, Annual team day, Here for Good day activities occur according to plan.
  • Assist with other reasonable duties as specified from time to time by the IT Project Manager - Operations.


  • Successful experience managing a dynamic, rapidly changing business and providing high level IT administrative support.
  • Experience in financial management such as accruals, purchasing, invoicing and goods receipting.
  • Understanding of IT and telecommunication concept / terminologies
  • Experience in mobile / data management
  • Proficiency in use of MS office, word, excel, PowerPoint, databases and web
  • Skills in data entry and eye to detail
  • Proven capacity to produce high quality reports and documents in a timely manner for internal, external and Board purposes.
  • Excellent customer service skills; effective verbal and written communication.
  • Effective time management, organizational skills and process focused.
  • Self-motivator & team player (must have a can do attitude); ability to work autonomously
  • Ability to multi-task in a fast paced environment with minimum supervision and commit to deadlines.
  • Ability to deal with all levels of staff/management; flexibility towards working hours
  • Relevant higher education qualification or equivalent years of experience
