job description

My client is seeking an experianced General Affairs officer to join their team. The successful candidate will be a dynamic employee, eager to take initiative and a hands-on approach. You will be a positive and proactive person who can operate independently and has the ability to multi task and set priorities. You will have strong planning and organisation skills and enjoy a wide range of tasks.

Duties:

  • Organizing duty travels for staff. Booking of flights, hotels, rental cars etc. Makes sure the administration process of travel booking is carried out correctly
  • Preparing mission-specific instructions (BUZA applications of existing regulations, guidelines and procedures), including telephone use, VAR, GST, creates checklists, templates and designs for this purpose; preparation of bills and payments
  • Responsible for the financial administration of the mission, liaising with the back office in The Hague and the suppliers regarding invoices and orders
  • Responsible for the cash box of the mission
  • Responsible for the maintenance of the contact database
  • Sends all the invoices via self-service portal to the Financial Service Organization (FSO)
  • Responsible for the daily mail at the mission, including the diplomatic mail being send from and to the mission

Skills and experience:

  • Excellent knowledge of Microsoft Office, Excel and experience with SharePoint
  • Skill in drawing up schedules, rosters, excel sheets
  • Skills in dealing with users, external companies and suppliers
  • Knowledge of financial administration and office management
  • Affinity with IT
  • Knowledge of internal administrative and procedural regulations relating to internal management at the mission, as well as their application
  • Integrity, respect for others, organizational sensitivity
  • Knowledge of relevant local legislation, like employment relations
  • Full driver’s license is required
