Full Description

This is a Facilities Coordinator / Receptionist position based in Sydney CBD. You will be responsible for greeting visitors, including vendors, clients, job candidates and customers. You will receive and redirect minimal amounts of incoming calls whilst managing the company’s lobby area. You will make sure everyone successfully signs in and out and security procedures are followed. Oversee Facilities Services and ultimately maintain smooth day to day running of the office. The Facilities Coordinator/Receptionist will report to and assist the Senior Facilities Manager for the region.

In this role you will:

  • Welcome all visitors and attend to their requests efficiently
  • Answer incoming calls, provide information to assist clients and refer to appropriate contact
  • Issue building passes and internal security passes to visitors and staff, keeping records
  • Daily site inspections
  • Keep the reception/lobby areas clean and tidy at all times
  • Raise PO’s for Facilities related services
  • Assist Senior Operations Manager with monthly budget accruals for the site
  • Enter all invoices from all sites onto a spreadsheet for recording purposes
  • Establish and maintain excellent relationships with peers, contractors and senior members of staff

Ideally you will have:

  • Excellent communication and stake holder management skills
  • Administration, Customer Service, Reception, Facilities/Maintenance Coordination experience
  • The ability to use your initiate, work autonomously and trouble shoot where necessary
  • Oversees contractors to ensure site is maintained as per client specifications
  • Strong Microsoft Word and Excel skills
