Events Coordinator

  • Support the design, development and deployment for an annual calendar of major projects, grounded in insights and linked to overall business strategy, to gain and drive brand and client awareness, increase consideration and improve net promoter score for RiseSmart.
  • Build relationships with key customers regionally and globally to leverage best practice and optimise shared resources.
  • Identify event elements, determining logical sequencing and then develop efficient schedules.
  • Liaise and support the Creative and Sales teams to execute media campaigns and programs to promote events.
  • Coordinate and manage suppliers and all logistical services (i.e. venue, catering, travel, promotional display, audio-visual equipment, printing and security).

Main Accountabilities

Executive Assistant

  • Schedule Management – constant management and maintenance of executives’ schedule by booking travel, meeting appointments, speaking engagements etc. ensuring there are no conflicts and that the executives know where they need to be when.
  • Liaise with members of the Leadership Team and other staff regarding correspondence and events which involve the Executive.
  • Act as liaison between Randstad and RiseSmart departments to facilitate communication at the executive level
  • Prepare reports, collect and analyse research to prepare executive for presentations, meetings and conferences.
  • Overseeing administrative policies within the organisation; recommending changes as appropriate.
  • Take and record minutes of Leadership Team meetings
  • Maintain knowledge by attending professional and technical educational seminars and workshops; review publications; establish professional and personal networks within the industry. Participate in societies relative to the business.

Candidate profile

  • Administrative Office Specialist with (5) years of progressively responsible secretarial and administrative work experience, including at least two (3) years providing support to senior and/or executive level management.
  • Highly proficient computer skills including Word, Excel, PowerPoint and e-mail applications.
  • Highly proficient in Microsoft 365 environment and familiar with google environment
  • Extensive experience with senior stakeholder management.
  • Exemplary customer service skills including the ability to identify needs, provide prompt response, and exercise patience, respect and professionalism in all interactions.
  • Skill in independently prioritising, planning, coordinating, organising, leading and monitoring multiple projects of a complex nature simultaneously and quickly adapting to changes.
  • Highly effective time management skills with impeccable attention to detail.
  • Ability to use initiative and independent judgment within established policies and procedural guidelines.
  • Ability to exercise tact and discretion in preparing, handling and disclosing information of a confidential, controversial and/or sensitive nature.
  • Customer centric approach to problem solving and ability to develop important relationships with customers and key stakeholders, both virtual and in person.
  • Focused and versatile team player that is comfortable under pressure.
  • Excellent problem-solving and critical-thinking skills.
