Client Details

Randstad has exclusively partnered with Yamatji Marlpa Aboriginal Corporation in looking for their next Executive Assistant to their Chief Financial Officer & Principle Legal Officer. This is a newly created role and a very exciting to time to join their organisation.

As the native title representative body for the Yamatji and Pilbara regions of WA, YMAC is a not-for-profit Aboriginal corporation. They are run by an Aboriginal Board of Directors, with Regional Committees chosen by their members.

Description

Your duties will include but not be limited to the following:

  • Completes a broad variety of administrative tasks for the Senior Executives including: managing extremely active calendar of appointments, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; compiling documents for travel and non-travel related meetings
  • Plans, coordinates and ensures the Senior Executives’ schedules are in line with their business agendas, followed and respected
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Senior Executives’ time and office
  • Communicates directly and on behalf of the Senior Executives with Executive Management Team, staff, and external stakeholders on matters related to Senior Executives’ initiatives
  • Researches, prioritises, and follows up on incoming issues and concerns addressed to the Senior Executives, including those of a sensitive or confidential nature. Assists the Senior Executives in the execution of appropriate course of action, referral, or response as and when requested.
  • Works closely and effectively with the Senior Executives to keep them well informed of upcoming commitments and responsibilities, including the provision of background materials and following up appropriately
  • Builds relationships crucial to the success of the organisation, and manages / participates in a variety of special projects as requested by the Senior Executives
  • Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, producing reports / briefs, and other tasks that facilitate the Senior Executives’ ability to effectively lead their respective departments
  • Prioritises conflicting needs: handles matters expeditiously, proactively, and follows through on projects to completion, often with deadline pressures

Profile

The ideal candidate will possess the following skills and experience:

  • Extensive experience in an Executive Assistant role supporting more than 1 executive
  • High level interpersonal and verbal / written communication skills
  • Advance knowledge in Microsoft Office suite (Excel, Word, Power Point) and minimum typing speed of 60wpm
  • Strong organisational and time management skills prioritising own work to agreed deadlines with ability to work under pressure in a busy working environment
  • Excellent attention to detail
  • Ability to work independently, and effective team working
  • Proactive approach and ability to provide initiative.
  • Experience with committees and consultants and in taking notes at meetings and preparing minutes
  • Previous leadership skills
  • Understanding of and commitment to equality of opportunity and good working relationship
