Executive Assistant

A rare opportunity for an experienced professional Executive Assistant for a role with a Victorian State Government Department.

The Executive Assistant will be responsible for providing executive level support and coordination. You will need to develop a strong working relationship with the team and Executive Director. The successful candidate will hold responsibilities for comprehensive and clear meeting minutes and agendas up to board level. You will be confident in setting process and structure within the unit and have a clear eye for process improvement.

Duties and Responsibilities:

  • Managing the Director's calendar and associated collation of supporting materials (papers, folders, briefings, etc)
  • Making travel arrangements
  • Briefings and correspondence
  • Organising, recording and tracking documents in line with Departmental policies and processes
  • Managing workflow to the Director to ensure timely approvals and progression of work
  • Recording meeting minutes
  • Maintaining open communication between all key stakeholders within the business
  • Other duties as directed

Skills and Experience:

  • Previous experience in EA duties within the Victorian State Government is desirable
  • Exceptional verbal, written and interpersonal communication skills
  • Have a bright and positive attitude with the ability to work proactively and independently
  • Effectively work with different levels of stakeholders within the business
  • Ability to prioritise tasks and work under pressure
  • Strong administration skills.
