The Department is seeking an experienced Event Operations Manager to help plan, produce, manage and co-ordinate the successful delivery of a three-month activation. The Event Operations Manager will work collaboratively with key stakeholders; oversee the procurement and management of suppliers and contractors and effectively plan, organise, and deliver the operational requirements of this activation, on time and within budget.
This activation is a unique water-based event. The role will work closely with key internal and external stakeholders to ensure a consistent, compliant, safe, and well managed activation.
The Event Operations Manager is responsible for ensuring that all logistical requirements are carried out according to the operational event plan, working closely with key stakeholders to ensure that all operational requirements of the event are fulfilled. This role will be shared across two positions to allow the smooth 7-day operation of the activation.
Key accountabilities
• Develop and implement Event Operations Plan including setting key milestones and project timelines to facilitate strategic planning and ensure the successful outcome of the activation
• Project manage the requirements of the activation, co-ordinating all elements of programming, design, production, stakeholder management and implementation.
• Act as the key point of contact and facilitate requirements of stakeholders, ensuring they meet their operational requirements.
• Plan, procure and manage the end-to-end delivery of event operations and logistics requirements including identifying suitable suppliers, preparation of specifications, procurement, purchasing and contract management in accordance with NSW Government guidelines to ensure the successful outcome of all aspects of the activation
• Manage project control group (PCG), ensuring timelines are established and met, budgets are managed and escalating issues to Leadership team in a timely manner.
• Provide expert advice on event management, including regulations and guidelines and coordinate all production and logistics requirements to ensure the timely delivery of event milestones.
• Manage compliance in relation to Development Applications and other consent processes, WHS, risk management, permits and environmental compliance
• Manage and monitor budgets, including planning, scoping, and costing and where appropriate forward reconciled accounts to the finance team for invoicing.
• Manage the preparation, procurement and contracting of various activities and support services in accordance with NSW procurement guidelines
• Manage event staff requirements, including external contractors, to deliver event activations including the preparation of event briefs, rostering, supervision and mentoring of casual staff and contractors. Work with and coordinate the engagement of our Facilities and Event Production outsource providers as required.
• Manage and lead all conversations and planning with relevant stakeholders including contractors and government agencies to manage the development of comprehensive and compliant overarching Event Risk, Safety and Emergency management plans to ensure all risks are identified and mitigated appropriately in consultation with Department of Planning’s independent risk assessor
