This position resports to the Commencing Practice Lead to provide effective and efficient administrative support relating to the commencing programs, working as part of a team to organise education activities and maintain accurate records.

You will be responsible for:

  • Assist the department in delivering commencing education programs to operational employees, including:
    -Coordinating venues, equipment and facilitators;
    -Rostering paramedic resources;
    -Preparing course materials
    -Recording attendance and accreditation data
  • Maintain an effective and efficient filing system in consultation with Central Records to ensure all information is centrally recorded in HPRM, stored confidentially and readily accessible.
  • Attend relevant meetings and actively contribute to enhance team processes and service provided.
  • Coordinate the communication and scheduling of Induction programs, including internal and external facilitators and presenters.
  • Accountable for end to end event for allocated programs, with an exceptional eye for detail and process to ensure Commencing Education Team and Regions are supported to organise venues, equipment, logistics and other requirements in advance.
  • Provide information and support to the Commencing Practice ASO to ensure efficient processing of purchase orders, invoices, accruals and resource hour bids related to all programs.
  • Manage and administer Student Management System (SMS) including creating assessment task tracking, and designing and providing reports from SMS as requested, and support Clinical Operations Managers to run their own reports for allocated programs.
  • Assist in training Operational staff and Continuing Practice team members on how to use SMS when requested.
  • Provide a high degree of quality customer service to internal and external stakeholders.

To be successful you must:

  • Be self-motivated and an active team player to assist the team to move towards the completion of goals.
  • Collaborates with colleagues to ensure processes adhere to and support the objectives of the department and division.
  • Proficiency of Microsoft Office suite applications including Outlook, PowerPoint, Word, Excel and Student Management Systems.
  • Previous experience with an Oracle database and enterprise level learning management system (desirable).
  • Willingness to travel throughout Metropolitan Melbourne and Regional Victoria as required.
  • Demonstrated experience and expertise in providing administrative support within a large organisation or department.
