About the Role
This position supports the existing client service team in delivering top-tier service to clients, internal staff, and Directors. You’ll be joining a cohesive and supportive team that values collaboration, with a strong emphasis on delivering high-quality administrative processes.
The successful candidate will receive mentorship to ease into the role and continuous training to further develop their skills.
Key Responsibilities:
- Organize client meetings, including the preparation of all relevant documentation and materials
- Establish and maintain client files and manage all related correspondence
- Assist with general office administration tasks
- Coordinate ASIC compliance, including processing annual statements, incorporating companies, trusts, SMSFs, preparing minutes, managing ABN/TFN registrations, and handling changes to addresses, shares, etc.
- Coordinate ATO lodgement processes, including tax returns, BAS, IAS, FBT, and SMSFs
- Update and maintain the internal client database
- Prepare reports and summaries for the team
- Coordinate travel and accommodation bookings
- Provide reception relief duties as needed
- Utilize cloud-based software (e.g., FYI Docs, Xero, ATO Mate, NowInfinity, Annature, Apxium)
- Perform other administrative tasks as required
About You
We are seeking a candidate with experience in administration and client service support, ideally within a professional services environment (such as accounting, legal, or wealth management). The ideal candidate will demonstrate the following:
- At least 2 years of experience working in a professional services firm
- Experience with accounting software is advantageous
- Excellent time management skills and the ability to prioritize tasks effectively
- Proficiency in Microsoft Office and strong computer skills
- Strong communication and interpersonal abilities
- A team player with the ability to meet deadlines
- High level of self-motivation and the ability to work autonomously
- Organized and detail-oriented
