Provide high level executive support, including confidential secretarial and administrative services to the Executive Director and other staff within the division in accordance with departmental policies and procedures on administrative, human resource and financial issues.
Proactively manage the Executive Director’s calendar, arrange and organise appointments, committees, meetings and conferences including catering, materials and information and providing secretariat support and minute taking as required.
Organise travel, accommodation and business arrangements as required for staff and clients.
Prepare correspondence/associated reports for senior officers as required.
Manage and maintain the equipment of the office including administering any equipment loans and participating in the annual asset stock take.
Assist the Executive Officer to undertake human resource activities as required, including processes to engage new staff, maintaining and updating records and progressing leave requests.
Undertake financial processing activities as required, including purchasing, processing invoices, reconciling corporate card transactions and processing of travel claims.
Assist the Executive Officer to examine work routines to develop new approaches to improve the efficiency and quality of operations within the division.
